This is how payroll accounting works in Switzerland - Part 6

Various aspects must be taken into account in payroll, some of which are defined in the Swiss Code of Obligations. So, we will have a detailed look at what needs to be considered when preparing payroll and how to conduct it.



Which legal provisions must be observed?
According to Art. 323b para. 1 in the Swiss Code of Obligations, every employer is obliged to provide employees with a written salary statement. In addition, the employer is usually obliged to pay the salary at the end of each month. Of course, another date can be chosen if the employee expressly agrees to it.
For your payroll to be complete and correct, certain information must be included. The following list shows what should not be missing:

  • Date of salary payment including payment period
  • Personal details of employer and employee
  • Social security number of the employee
  • Gross salary
  • Deductions for old-age and survivors' insurance (OASI)
  • Deductions for invalidity insurance (IV)
  • Deductions for loss of earnings compensation (EO)
  • Deductions for unemployment insurance (ALV)
  • Deductions for non-occupational accident insurance (NOAI)
  • Deductions for occupational pension funds (OP)
The points already mentioned must be listed on each salary statement. The following items, if present, must also be listed:

  • Deductions for foreign employees who are taxed at source
  • Advances
  • Retention of salary
  • Reimbursement of expenses and outlays
  • Reduced and additional services including justification
  • Premium and bonus payments
  • Salary for loss of working hours, vacations and public holidays
